Overview
Jolt list permissions function at two levels:
Content group admin: Sets the master permissions for a list and determines what location admins are allowed to change.
Location website admin: Can adjust only the settings the content group admin has permitted.
Understanding this hierarchy ensures the right people see the right lists. Refer to the sections below based on your user permissions.
Setting up list permissions as a content group admin
As a content group admin, you can configure permission settings for a list and control how much flexibility location admins have when managing the list at their sites.
Log in to the Jolt web app and navigate to lists > edit lists.
In the top right corner of your screen, make sure the dropdown menu is set to content group mode to allow you to manage permissions across multiple locations.
On this screen, you can create a new list or edit an existing list.
Within the list, you will need to configure some user settings:
Assign roles: Specify which roles can assign or manage the list.
Create list instances: Decide if users can create a list outside the scheduled times.
Next, you will need to configure list item settings:
Required items: Determine if each list item should be marked as required or not applicable (N/A) by locations. If not selected, locations can mark items as N/A.
Deactivate items: Allow locations to completely deactivate list items if they are not relevant. Select the box to give this option to location website admins.
Edit prompt text: Allow location website admins to change the name or prompt text of list items. Select the box if you want to enable this feature.
Next, you will need to configure advanced sharing settings:
Deactivate list: Allow locations and subscribers to deactivate the entire list. Selecting this option enables them to turn off the list if needed.
Change list schedules: Allow locations and subscribers to modify the list schedule. If you enable this, they can adjust when the list is due.
Finally, configure location activation settings:
Current locations: Choose the current locations that should have access to the list. You can select the specific locations where the list will be active.
New locations: Set whether the list will be automatically activated or deactivated for any new locations added in the future. You can adjust this setting at any time.
Click save to apply changes.
Setting up list permissions as a location website admin
As a location website admin, you can adjust only the settings that the content group admin has enabled. Settings that are grayed out or missing are controlled at the content group level and cannot be changed at the location level.
Log in to the Jolt web app and navigate to lists > edit lists.
Choose a list from the available content group lists.
Depending on what the content group admin has permitted, you may be able to make the following changes:
Roles: If location roles are available, you can assign them (content group roles cannot be edited at the location level).
List schedule: If enabled by the content group admin, you can override the content group repetition set with a location-specific schedule.
Notifications: You can add new notifications, but existing content group notifications cannot be deleted.
List items: If enabled, you can deactivate individual items using the kebab menu (three vertical dots) next to the item and selecting deactivate.
Click save to apply changes.
