Overview

The Item Completion Report in the Jolt Web Portal offers a comprehensive view of your organization's list completion performance. This report allows you to see which locations are finishing lists on time and which may require additional support.

Completion reports rely on predefined settings, such as reporting periods and list statuses (Open or Closed), to generate data. Understanding these settings is crucial for interpreting the reports correctly.

Prerequisites

To access the Completion Report, a user must have one of the following admin settings: Reports Admin, Location Website Admin, Content Group Admin, or Company Admin.

Open Items

Report Purpose

  • The Open Items view filters out items on lists that have expired — a view of work in progress.

  • Group by location and sort on Incomplete (%) to see underperforming locations at the top.

Lists transition from Open to Closed status when their Display Schedule expires. This transition is crucial for ensuring accurate reporting, as Open lists may still show incomplete data even if tasks are finished.

Closed Items

Report Purpose

  • The Closed Items view filters out items on lists that haven't expired because there is more time to complete them.

  • Group by location and sort on Incomplete (%) to see underperforming locations at the top.

Closed lists ensure that all tasks are accounted for after the Display Schedule expires, providing a more accurate reflection of task completion.

Jolt organizes lists into two statuses: Open (Active) and Closed (Expired). Open lists are active until their expiration date passes, while Closed lists are those whose expiration date has passed. This distinction ensures accurate reporting in the Lists Completion report.

Accessing the Completion Report

  1. Via Lists → Completion

  2. Via Reporting → Completion Report

  3. Via Reporting → All Reports → Item Completion

Using Filters

Filters allow you to customize the data view based on Date Range, Locations, and Lists. Filters can be saved and accessed in the Jolt App.

You can also create custom date ranges to generate rolling reports tailored to specific timeframes.

Using the Browse List Report

If you need to review a completed list that has not yet expired, you can use the Browse List report in the Jolt Web Portal. This report allows you to view the status of all lists, including those that are completed but still active.

  • Dark Blue: Tasks completed on time.

Grouping Data

Group data by Location, List, or Organization for detailed drill-down analysis.

Scheduled Email Reports

Click the three dots in the top right corner, select Settings, turn on Scheduled Email, set the time/cadence/recipients, and click Save.

Troubleshooting Common Issues

Last 90 Days Report Not Reflecting the Last 90 Days

The "Last 90 Days" report is not a true rolling report. Instead, it is designed as a completion report for a fixed 90-day period (e.g., June 8 to September 6). This means it will only display data for that specific timeframe and not the most recent 90 days. If you require a true rolling report, you will need to create a custom report tailored to your needs.

Completed Checklists Appearing as Low or Missing in Reports

Reports are based on whether a list is Open or Closed. In Jolt Software, lists remain Open and active until their expiration date passes. Once the expiration date has passed, the list is marked as Closed or Expired. The Lists Completion report only includes lists that are in the "Closed" status. This means that even if a list has been completed, it will not appear in the report until its expiration date has passed and the list is officially closed.

Optimizing Report Accuracy

  1. Adjust the Display Schedule

    • Navigate to the List Template settings.

    • Shorten the expiration period after the due time to ensure lists close sooner.

    • This adjustment ensures that completed tasks are reflected in reports promptly.

  2. Create a Custom Rolling Report

    • If you need a true rolling report for the last 90 days, create a custom report using Jolt Software’s reporting tools.

    • Customize the reporting period to match your specific requirements.
