SmartSense Healthcare and Pharmacy Alert Responder Training
This training video will give a brief overview of the SmartSense platform and tell you everything you need to know as a responder-level user in the healthcare and pharmaceutical industries.
A responder is someone who has access to view assets and temperature data, pull reports, and respond to temperature excursions in the form of incidents.
LOGIN
- To log in to your SmartSense dashboard, go to the webpage app.smartsense.co and enter the login credentials provided to you by the SmartSense account administrator for your organization.
MY PROFILE
- If you would like to personalize your password, click your name in the upper right-hand corner and go to My Profile.
- In this section, you can change your contact information, password, and preferred unit of measurement. If you are changing your unit of measurement, just note that you will need to log out and log back in to reflect this change.
HIERARCHY
Click on the Dashboard tab to return to the home page. For those with access to more than 1 location, you can use the drop-down that’s found just below the SmartSense logo to select a location. Use the + button to expand folders if needed.
INCIDENTS
- Here, you can view any active incidents that are labeled as being high severity. These are the items you will want to address first.
- Click on the incident tile. This will provide a quick view of the incident. Here you can see when the incident triggered, how long it has been active, and a shortened version of the incident history. To get a full view of the incident click view incident details.
- From here you can assign this incident to an individual if needed. Some users will assign the incident to themselves so others are aware that this incident has been acknowledged by that individual.
- From this view, you can also acknowledge the incident. This will be noted in the incident history.
- In some applications, this will also stop notifications associated with this alarm from re-sending. Notifications will resume for this alarm when the current incident is resolved and a new incident is triggered.
- Clicking the corrective actions button will open a text box where you can enter the steps that were taken to resolve this excursion. This will be noted in the incident history as a comment.
- To clear the incident from the list of active high severity incidents, you will need to change the status. When an incident opens, the status will be set to New.
- When the incident has been resolved, click the drop-down list under the acknowledgment button to change this status to Closed. You may also use Active or On Hold as labels if the incident has not yet been resolved.
- To view active medium or low severity incidents or to view a complete history of closed incidents, click on the incidents tab to view this list.
ASSETS
- Below the high severity incidents on your dashboard is a quick view of your assets. An asset is how we refer to any unit that houses inventory, typically coolers, freezers, and ambient or room temperatures. You can view all of your assets by clicking the assets tab.
- From this page, you can see where assets are located, if there are any active incidents, the last reading date and time, the current temperature, and the 24-hour high and low temperatures.
- To view an asset in detail, click on the asset name. From here you can view asset details, a temperature graph, asset history, sensors, and assigned alarms.
- To zoom in on the graph, left-click and drag on the section you would like to see more closely. Click reset the zoom to return to the original view.
- You can quickly view today’s, yesterday’s, last week’s, and last month’s data, or you can input a specific date range if you prefer. This will also pull the temperature readings on the right-hand side in a list view.
- To download a .csv file of this temperature data, click on the downward-facing arrow icon.
- In the measures tab, you can toggle on or off plot lines for your sensors. This is helpful when looking at sensors with both temperature and humidity readings.
- You can also click on Thresholds to drop dotted lines that represent the temperature thresholds for this asset.
- Below the graph, you can view your asset history. This provides a quick look at any incidents or changes that have been made to this asset.
- Below the asset, history is the sensor currently assigned to this asset. If the device ID listed here is incorrect or needs to be updated, contact the SmartSense account administrator for your organization.
- The bottom of this page shows the alarms that are currently set for this asset. To request changes, contact the SmartSense account administrator for your organization.
REPORTS
- To pull a compliance log or other report, click on the Reports tab and select the report you would like to see.
- Enter the required information. If you would like to schedule daily, weekly, or monthly reports, change the report frequency. This will allow you to add email addresses to the form. To enter multiple emails, separate them with commas.
- If you are pulling a report for more than 1 location, select the top level and check Include Sub Locations. If you are pulling a report for 1 location, expand the folder and select the location.
- Click Generate. To view your completed reports, click Completed Reports. To view scheduled reports, click the Scheduled Reports tab.
